Manual uploads of incoming statements are made using the Submit file button under Run process dropdown. Automated submissions can be made via SFTP. Matching process is triggered when statements from either or both sides have been submitted, matching newly submitted items with any unmatched items.
It is possible to submit multiple statements within a single submission, by using a zipped file containing the statements (containing a maximum of 16383 files). Please note that zipped files should not be password protected.
You may also manually trigger a matching process for any unmatched transactions (regardless of workflow statuses) by choosing Match transactions under Run process. This is particularly useful for example when an account has just been added to account group, a statement has been marked as not a duplicate.
Smart statement ordering
If multiple statements and SWIFT message pages arrive on the same day, then these may arrive out of their intended order. Duco automatically puts them in the correct order for you by finding matching opening and closing balance of adjacent statements. If none of the statement has opening balance that matches exactly with previous closing balance, then the closest one will be used.
If we happen to get this statement order wrong, you are able to manually reorder statements with the same end date.
Detection of duplicate statements
Duco automatically detects if a statement is a duplicate statement during statement load by looking at:
- opening balance
- all of the individual movements (value date and amount)
- closing balance
Items from a duplicate statement will have a status of closed and will not be visible in the Transactions view.
You will be able to manually mark a statement as “not a duplicate”. This makes transactions visible on the Transactions view and eligible for matching.
